Using virtual reality during a presentation can make impact but is also tricky. There are a lot of things that can go wrong and if the technology fails to deliver, that will be the core message of the presentation. In this post we’ll shortly discuss what a VR presentation is it’s use cases and benefits. Then we’ll dive directly into how to give a synchronized VR presentation using our software by discussing the following steps. First, choosing the software, secondly pairing it up with the right hardware. Then, we’ll tell how to upload, test and ultimately give that awesome VR presentation.

What is a VR presentation and why you should to use it?

We’ll define a VR presentation as showing synchronized 360 degree content to multiple people at once. Ideally using software to manage, monitor and control the playback.

There are numerous reasons why you should use VR for presentations. It’s immersive, memorable and interactive and can be used  among other things to:

  • Transport people to another location
  • Excite or entertain your audience
  • Present your company or work in an unique way

What type of content can i show during a VR presentation?

The type of content and use case varies on the goal you have in mind.  In most cases you want to go with 360 degree video content because it’s the easiest to obtain or produce.

You can download it from YouTube, hire an agency to produce it or make it yourself.  Besides 360 content it is also the easiest to manage and playback in sync with, for example, our VR Sync software.

Using VR Sync for presentations

Selecting content

The content should be shot in 360 degrees in 1:2 equirectangular format and should meet the following specs to make sure it plays back properly.

VR Sync supports:

– Monoscopic 360 video

– Stereoscopic 360 video

– Spatial Audio

– 360 Photo

Video specifications:

Codec: H265 or H264

Resolution: 3840×1920

FPS: 30

Max bitrate: 16 mb/s

Audio: Stereo aac audio or .tbe (two big ears)

Photo specifications:

Codec JPG, PNG

Resolution: 3840×1920

If you are not sure if the content is suited you can check the file details. To do this on a Mac computer open the file in Quicktime and hit Command-J. On a Windows PC hit your right mouse button and select ‘Properties’.

If you have the original (work) files you can always export the 360 content again to match the spes above, or ask your producer to do so.

Choosing the right hardware

The right hardware for your VR presentation is key. There are many types of headsets but we advice a so called all-in-one headset which has all the hardware included. Our weapon of choice is the Oculus GO which is available for around 220 dollars. It offers a great screen, a comfortable experience and has a build-in headset for audio. Although we do advise using an external audio headsets to provide the best experience.

Preparing the content

Once you’ve chosen the hardware you can download the VR Sync app from the stores or by following the link on the dashboard. After the VR Sync application has been installed you can enter your unique pin, found on the VR Sync dashboard as soon as you log in.  This will automatically connect your VR headset to your account.

Uploading the content

Secondly you need upload the content through our content manager. Login on the dashboard, go to content manager and upload your 360 content. Once uploaded the content will automatically be pushed to all prepared devices.

Testing the content

After you’ve made sure your content meets the above named specs you can upload it and test it. Simply go to the remote, select the content and start playback. Pick up your VR headset and make sure everything runs smoothly.  To double check you can always test on multiple devices and for a longer period of time using the build in loop function.


Preparing and presenting with VR Sync

During most presentations you have one piece of content which you need to show to a whole group. However,  if you have multiple pieces of content which you need to show to different people you can always use the build in group function. This feature allows you to put your vr headsets in different groups after which you can tell VR Sync to play specific content to different groups.  After preparing the content, hardware and remote options it’s a case of press & play.
